Introduction to Maintainable Assets

What are they, and what do they do?

Maintainable assets are a special type of object in Twinview. While you can click on any object in Twinview and it will show its data in the Data palette, only objects classified as Maintainable assets appear in the Asset list in Facilities Management as well as been used in the Facilities workflows and tools like Maintenance Jobs, Tasks, Issues and other workflows such as query sets and capture instances.

An asset must also be classified as a maintainable asset to be able to add IOT Data Stream Devices to the asset.

Clicking on a Maintainable Asset and clicking Manage Asset in the Data Panel will show the Asset Details modal, where we can see all the Asset Details and any activity associated with the asset.

Defining What Should be Maintainable Assets

Designating every item in your project as a maintainable asset is not recommended. Only those assets that a building operator would actively manage should be classified as Maintainable. While the data for every asset will remain accessible, this approach ensures that the list of Maintainable Assets is accurate and manageable. This strategy also aligns with how most building operators currently manage their facility assets.

The client or building operator may have already determined which assets should be classified as maintainable. In most construction projects, the client will define an Asset Information Register (AIR) that specifies:

  1.  The types of assets the building operator requires
  2.  The data they need on these assets upon handover
  3.  An information management process for checking and validating the data
  4.  A naming and Asset Tagging strategy for these assets

Given this, we recommend using the same process to automatically define your maintainable assets based on the Asset Information Register (AIR).

The client or Building operator may have already defined what assets should be maintainable assets as on most construction projects; the client will define an Asset Information Regester (AIR) that defines:

  •  What asset types does the building operator require
  •  What data do they need on these assets on handover
  •  An information management process for checking and validating the data
  •  A naming and asset tagging strategy for these assets

Because of this, we recommend utilising the same process to automatically define your maintainable assets based on the Asset Information Register (AIR).

Upgrading an object to be a Maintainable Asset

You can upgrade an object to a maintainable asset.

Step 1: Locate and click on the object you want to upgrade to a maintainable asset. Then, go to the Data palette and click the 'Make Maintainable' button.

Step 2: Enter the Asset Details in the 'Add Asset' modal. Twinview will load through any data that exists in the object, but you should check and verify this data. You can enter your asset information in the dialogue. At a minimum, maintainable assets need a 'name' field populated and an 'Asset Identifier' assigned. When done, click 'Save'.

The Asset Identifier parameter is mandatory for a maintainable asset, and its value must be unique.

 

Step 3: The Maintainable Asset has been created and is available in your maintainable asset list. You can now associate any documents with it and start using it in your operational processes.

You can bulk-add your maintainable assets as part of the project implementation and onboarding setup.

You can also add assets in bulk using the Excel import and round-tripping functionality or by writing a custom visual script in Node Assistant.

Searching for an Asset

Maintainable assets can be searched and located quickly

Step 1: While in a project, click 'Facilities Management' in the left main menu, and then navigate to the 'Assets' Tab (1). You can now search the asset list using the Search box at the top left (2) and use the filters to narrow your search.

When you find an asset, click 'View' to open the asset details page.

Step 2: You can now view the Asset details. To locate the Asset in the 3D model, click 'View in Model' to locate and zoom in on it.

Decommissioning a Maintainable Asset (soft delete)

You cannot delete a Maintainable Asset in Twinview. However, you can decommission it. When an Asset is decommissioned, the following occurs:

  • The Assets status changes to 'Archived'.
  • The 3D object is removed from the model.
  • The decommissioned event is added to the project activity log.

To Decommission and a Maintainable asset, do the following:

Step 1: Locate the object and view the Asset Detail modal. - You can do this by searching or clicking on the asset and then clicking the Manage Asset button on the data panel.

Click the 'Decommission / Replace' button at the top right of the Asset Detail modal.

If the 'Decommission / Replace' is not showing, this is because the asset is already in a Decommission/Replace workflow that has not been completed.

Stage 2: Twinview will ask which activity you want to perform on the asset. Select the 'Decommission' option by clicking 'Start Workflow.'

Step 3: Twinview will ask to create a maintenance job to Decommission the Asset. This is because this is how an asset would be decommissioned in the real world, and we need to maintain legislative compliance. The asset will not be decommissioned and removed from the project until the maintenance job has been completed.

We will add a brief description and then click 'Save'.

Step 4: The maintenance job has been created and associated with the asset automatically. All you need to do now is assign at least one task and complete the job by completing the task(s).

When the final task is completed, the maintainable asset associated with the job is decommissioned, and the assets are removed from the model. The full history of this process is automatically added to the activity log. You can always see the asset detail again by going to the Asset list in the Facilities section and filtering by 'Archived',

You can restore an archived object by clicking on the asset in the asset list, then clicking the edit button on the asset detail page, and changing its 'Status' from Archived back to active. Then click 'Save'.
